The honest version
Music schools lose students to admin, not to teaching.
Enquiries go cold
A parent asks about lessons on a Tuesday. Nobody replies until Thursday, and by then they have booked somewhere else. The trial lesson that would have converted them never happens.
Empty slots stay empty
A student drops out and one 4pm slot goes unused for weeks because nobody has time to work the waitlist in between teaching.
Reviews only arrive when asked
Happy families rarely leave a review unprompted. The parents with a complaint always do. The public record ends up skewed and nobody has time to fix it.
What we deploy
Agents that do the repetitive work.
Each one is scoped to a single job, connected to your own systems, and built with the approvals that keep a person in control of anything that matters.
Trial lesson follow-up agent
Watches for new enquiries from your website, forms and social messages, replies within minutes with real availability, books the trial lesson, then sends the reminders that stop no-shows.
- Instant reply to every enquiry
- Books into real open slots
- Reminder sequence before the trial
- Follows up when someone books and never shows
Review solicitation agent
After a set number of attended lessons, asks the family for a review at the right moment, routes unhappy feedback privately to the director first, and only invites public reviews from people who are happy.
- Triggered by lessons attended, not a blind blast
- Private detractor path before anything public
- Posted to Google and Facebook
- Director notified of anything negative
Retention and at-risk agent
Reads attendance and payment records, flags the family that has missed three lessons in a row or gone quiet, and drafts a check-in for the teacher or director to send.
- Flags attendance drop-offs early
- Drafts the personal check-in
- Never contacts a family on its own
- Weekly digest to the director
Recital and event agent
Handles the logistics of a recital season: invitations, RSVPs, repertoire lists, reminders and the follow-up thank-you with photos, without the director chasing spreadsheets.
- RSVP tracking and nudges
- Per-student repertoire lists
- Parent reminders by email and text
- Post-event follow-up
Where the data comes from
Connected to the systems you already run.
An agent that cannot see your records is just a chatbot. Most of the engineering is safe, permissioned access to the software your team already uses every day.
Your student management system
Jackrabbit, My Music Staff, Mindbody and similar platforms hold the schedule, attendance and billing history an agent needs to know who is at risk.
Google Business Profile
Reviews land where local parents look first, and the listing details stay correct as studio hours and locations change.
Your website and forms
Enquiry forms, trial lesson requests and contact messages all feed the same inbox the agent reads.
Facebook and Instagram
DMs and comments from parents are treated as enquiries, not as social posts nobody reads.
Email and SMS
Follow-up that reaches parents where they actually read it, with every message logged against the family record.
QuickBooks or your billing tool
Payment status is visible, so an unpaid month becomes a gentle reminder rather than an awkward conversation at the front desk.
Where a system has an open API or a Zapier connector we build the integration directly. Where it does not, we work with exports your platform already provides rather than pretending a connection exists.
Where we are careful
What we will not automate.
Every industry has lines that should not be crossed by software. Being clear about them is what makes the rest trustworthy.
- Agents never contact a family about a billing dispute or a complaint. Those are routed to a person with the context.
- Review invitations are sent to families who attended lessons, never as a blind blast to an old list, and never with an incentive attached.
- We do not create fake reviews or gate unhappy customers away from the truth. A private-escalation path is different from suppression.
- Anything a teacher would want to say personally, the agent drafts rather than sends. Tone from a teacher is not a template.
Before you ask
Questions from music schools.
Will the agent sound like our school?+
It learns from your existing emails and the way your front desk actually writes. We review the draft voice with you before anything goes live, and every automatic message can be edited first.
Which student management systems can you connect to?+
Any platform with an API or a Zapier connector is straightforward. Platforms without one usually still provide scheduled exports, which we can work from. We will tell you honestly what is realistic before you commit.
How does review solicitation avoid annoying parents?+
It is triggered by behaviour, not by a calendar. A family is asked once, after enough lessons that they have something real to comment on, and never again if they have already left a review.
Does this replace our front desk?+
No. It removes the work that gets dropped when the front desk is busy: the reply that waits until Thursday, the waitlist nobody works, the review request nobody remembers to send.
How quickly can something go live?+
A single agent, like trial lesson follow-up, is typically weeks rather than months because it uses systems you already run. We start with the one leak that costs the most enrolments.
How many enquiries did you lose last month?
Bring us your enquiry volume and your trial-to-enrolment rate. We will tell you which agent would move it first.
